We are looking for an Executive Assistant for an immediate start to strengthen our team. This is a permanent full-time position located in our office in Kontich, Belgium.
As Executive Assistant, you will provide high quality administrative and practical support mainly to the CEO and incidentally to the Leadership Team, in order to help them in making their jobs most efficient and effective to achieve the company’s business goals. This role requires a high degree of discretion, a strong sense of confidentiality, a good appreciation and desire to understand the organization’s operations, procedures and people.

Your responsibilities:
- Managing the CEO's agenda: scheduling appointments and responding to or redirecting routine requests, and handling confidential documents with discretion.
- Managing the CEO's expense reports, credit card statements, expenses and reconciliations, and ensuring the efficient processing and management of document flows.
- Support the CEO in building presentations and other corporate documentation in an attractive and professional way
- Support the procurement process by raising RFP, POs and other process documents.
- Organizing and coordinating internal and external meeting set-up, ensuring that the necessary meeting amenities and relevant documentation are available and suitable for the participants.
- Organize professional events like KOL meetings, Advisory Boards (from a logistical standpoint), investors diners etc
- Attend business meetings when necessary, drafting and distributing reports, work schedules and minutes.
- Organizing business trips to multiple countries and coordinating with local organizations and various stakeholders.
- Manage files and administrative systems.
- Ad hoc support on practical and administrative matters.
Your qualifications & experience:
- Bachelor degree in administration/secretarial or similar by experience.
- Minimum 5-10 years of previous experience in a similar role.
- Strong verbal and written communication skills: ability to communicate effectively at various levels in the organization
- Proactivity in managing activities and anticipating challenges
- Ability to work with documents and attention to details
- Strong organizational skills and can-do mentality
- High level of integrity and discretion in handling confidential information
- Strong proactive approach
- Expert with Microsoft Office and other software
